Webinar Highlights

1. Transitioning to the "Nova" Interface

Switching to the Nova interface is recommended due to its more intuitive side-menu navigation. While the public-facing site remains unchanged, the back-end is modernized, and no data is lost during the transition.

2. Modern Website Design

A major portion of the session covers the Website Designer. Highlights include:

  • Drag-and-Drop Widgets: The website is built like "Legos," allowing users to easily move blocks for speakers, executives, and meeting info.

  • Mobile Preview: A crucial tip shared is to always use the "Mobile Preview" tool to ensure the site looks professional on smartphones.

  • Call to Action: Effective websites should include clear "next steps," such as "Contact Us" or "Become a Member" buttons.

3. Storytelling & AI Integration

The webinar demonstrates how to create engaging stories to showcase club impact:

  • Using AI: The presenter shows how to use tools like Gemini to draft story content quickly.

  • Formatting: Tips were provided on using "Story Briefs" to control how much text appears on the homepage before a "Read More" link.

4. Personalizing Communication

The session walks through the updated Email and Bulletin tools:

  • Merge Fields: Users are shown how to use variables like $FirstName$ to personalize mass emails.

  • Analytics: The system now offers better tracking to see who opened emails and which links were clicked.

  • E-Bulletins: The presenter demonstrates "fancy emails" (bulletins) using pre-made templates that can be scheduled for future delivery.

5. Domains and Support

The webinar concludes with advice on custom domains (e.g., urbanspirits.ca) to make the club more professional and easier to find. For clubs struggling with the interface, the District 5370 Public Image committee and ClubRunner Support are available for further support.

Webinar Highlights

Public image is not about vanity—it’s about ensuring your club's work achieves the relevance, impact, and membership engagement it deserves. Social media is the essential tool for telling that story, attracting new members and volunteers, and informing the community about your service projects.

Here are the key takeaways from the "Social Media Best Practices" webinar to help your club become a public image champion:

1. Strategic Content: Value First & Impact-Focused

To build an engaged audience, your content strategy should prioritize value over direct promotion.

  • Apply the 80/20 Rule: Dedicate 80% of your posts to sharing stories of impact, club activities, and member spotlights (Value). Reserve 20% for direct requests like fundraising asks or membership drives (Promotion).
  • Tell the "Change" Story: Focus on the outcome rather than the action. For example, instead of saying, “We donated $500,” rephrase it to highlight the impact: “Five students now have new backpacks and supplies for the school year, thanks to our club!”.
  • Go Visual: Social media is visual, and a video is considered to be worth a million words. Create short, dynamic videos (15-60 seconds) that "Show, Don't Tell" the Before ⟶ After of your projects. Always include subtitles/captions, as most viewers watch videos with the sound off.

2. Choose Your Platform and Be Consistent

Don't try to be everywhere at once. The golden rule is simple: Go where your audience already is.

  • Quality Over Quantity: Be strategic and aim to master just one or two platforms before expanding.
  • Different Platforms for Different Uses:
    • Use Facebook for local advertising and event promotion (reaching the 30-65+ demographic).
    • Use LinkedIn for professional thought leadership and recruiting talent.
    • Use Instagram and TikTok for highly visual content to reach younger audiences.
  • Consistency is Key: Aim to post at least 2-3 times per week.
  • Be a Good Neighbour: Respond promptly to all comments and messages, and expand your reach by tagging district accounts, partners, and local businesses.

3. Compliance and Risk Management

To protect your club and your community, adhere to brand and privacy guidelines:

  • Branding: Use your approved club, district, or zone logo (following the template from the Rotary Brand Center). Do not use the Masterbrand Signature alone.
  • Privacy & Consent: You must get permission before posting photos or videos of identifiable people. Explicit, written consent from a parent or legal guardian is mandatory to show minors’ faces.
  • The Four-Way Test: Apply this to every post before hitting publish:
    • Is it the TRUTH?
    • Is it FAIR to all concerned?
    • Will it build GOODWILL and BETTER FRIENDSHIPS?
    • Will it be BENEFICIAL to all concerned?
